Running your pharmacy on ELMED, step by step.
Getting started
How do I register my pharmacy?
Go to elmed.healthcare/register and choose Pharmacy. Fill in your pharmacy name, address, and contact details. The ELMED admin team approves registrations, usually within 1 to 2 business days. You will get an email when you are live.
How do I add my staff?
Go to Staff in the sidebar. You can invite pharmacists, dispensers, managers, and receptionists by email. They get their own login and can access the portal based on their role. Owners can also approve or decline staff join requests from other pharmacists.
Dispensing prescriptions
Where do incoming prescriptions go?
All prescriptions sent to your pharmacy land in the Dispense Queue. Each one shows the patient name, medications, and who prescribed it. Prescriptions can come from a doctor completing a consultation or from a patient setting your pharmacy as their preferred provider.
How do I verify and dispense a prescription?
Open the prescription in your queue. Review the medications and quantities. When everything checks out, click Verify and then Dispense. The patient gets a notification and the record is updated with a full audit trail.
How do refill requests work?
When a patient requests a refill, it appears in the Refill Requests section. You can approve or decline with one click. Approved refills move into the dispense queue automatically.
Inventory management
How do I manage my stock?
Go to Inventory in the sidebar. You can add products manually, set prices, manage stock levels, and organise by category. You will get a low-stock alert when any product drops below your set threshold.
Can I import stock in bulk?
Yes. In the Inventory section, use the CSV Import option to upload a spreadsheet of products. The system will match them against the SA medicines catalogue where possible.
What is the SA medicines catalogue?
ELMED has over 11,000 South African medicines pre-loaded with their NAPPI codes, scheduling, pack sizes, and dosage info. When you add a product, you can search this catalogue instead of filling everything in manually.
Online orders
How does the online shop work?
When your inventory is set up, patients can browse and order your products online through your ELMED pharmacy page. Orders go to My Orders in the sidebar where you can track them through the workflow: Pending, Dispensing, Out for Delivery, and Delivered.
How do I handle co-pay for medical aid orders?
When you dispense a prescription for a patient with medical aid, ELMED creates a co-pay record automatically. This flows through to the patient's medical aid portal for processing. You can track co-pay submissions in the Co-pay section.
Your pharmacy website
How do I set up my pharmacy website?
Go to My Website in the sidebar. From there you can set your hero text, about section, services, team members, hours, social media links, and branch locations. Hit Save and your changes go live immediately.
Can I use my own domain?
Yes, on the Premium plan. Email support@elmed.healthcare with your domain name and we will set it up for you. SSL is included automatically.
How do I reply to contact form submissions?
Go to My Website, then the Contacts tab. You will see all messages and prescription submissions from your website. Click on any message to open the inline reply editor. Replies are sent as branded emails directly to the visitor.
WooCommerce plugin
What does the WooCommerce plugin do?
The ELMED Rx Validator plugin connects your WordPress WooCommerce store to your ELMED pharmacy. It syncs your ELMED inventory into WooCommerce products, verifies prescriptions at checkout, and lets patients manage refills and view claims from their WooCommerce account page.
How do I connect the plugin to ELMED?
- Install and activate the plugin in your WordPress admin.
- Go to WooCommerce → ELMED Rx and open the Settings tab.
- Paste your API key from ELMED → API Keys in the pharmacy portal.
- Click Test Connection to confirm it is working.
- Go to the Sync tab and click Sync All Products to pull your inventory in.
How do I get my API key?
Log into your ELMED pharmacy portal and go to API Keys in the sidebar. Click Generate Key, give it a name, and copy the key. It starts with elm_. Paste it into the plugin settings. You will only see the full key once, so copy it before closing.
